Vendor Details

● Booth Fee: $50 (10 x 20 space) ● Each business will need to provide their own display tent, tables, and chairs. ● All tables must be draped to the ground, and no boxes and or packing crates visible. ● Please be prepared for inclement weather conditions, this is a rain-or-shine event. ● Booths must be staffed for the entire duration of the festival operating hours: 11am – 5pm. (CANNOT be torn down early) ● Please plan for hundreds of people if you have information or goodies to hand out. ● The deadline for receipt of the application is February 12th, 2025. (All locations will be emailed the week of the 17th with set-up information)

Terms & Agreement

As a vendor, I agree to the conditions and requirements of the Fire & Ice Festival. I agree that Downtown Canandaigua Business Management Association (DCBMA) and the City of Canandaigua shall not be liable for loss of personal property, personal injury, or other damages involving an exhibitor or exhibitor’s agents and employees. Exhibitor shall defend and indemnify DCBMA and the City of Canandaigua from any and all claims, liabilities, expenses, damages, and penalties caused or incurred by wrongful acts of exhibitors, or exhibitor’s agents and employees.

Terms & Agreement

As a food vendor, I agree to the terms & conditions of the Fire & Ice Festival. I agree that Canandaigua BID, Fall Into Canandaigua, The City of Canandaigua and individual merchants or volunteers will not be held responsible for any theft, loss of property or personal injury suffered during or as a result of participation in the Fire & Ice Festival.

Vendor Information

· Food truck/booth vendor fee - $100 for one day, $150 for both days · Each booth is limited to 200 square feet –10x20 · Please be prepared for inclement weather conditions. · Booths must be staffed for the duration of the festival operating hours: 11am – 5pm. (CANNOT tear down early) · Deadline for receipt of application is February 12th, 2025. Please mail required documents, booth fee ($100/one day, $150 for both days) and a separate check for damage deposit of $100 (returned upon cleanup) (make checks payable to Canandaigua BID) to Canandaigua BID, 115 S Main Street, Canandaigua, NY 14424. You may also email your documents to BIDevents@downtowncanandaigua.com and mail your check.

Required Documents

· Ontario County Health Permit: All food vendors must post a current Ontario County Health Permit and comply with the requirements established by the Ontario County Health Department. · Sales Tax Certificate: Each food vendor is responsible for collecting New York State and Ontario County sales tax (7.5%). A copy of your Certificate of Authority must be displayed in your booth. If you do not already have a Certificate of Authority, you may obtain one at http://www.tax.ny.gov/bus/st/register.htm . · Proof of Workers Comp Insurance and General Liability Insurance: Vendor agrees to maintain fire, worker's compensation and General Liability insurances that indemnifies DCBMA and The City of Canandaigua related to the operation of the food booths and trucks. Vendor shall submit proof of effective coverage for the Fall Into Canandaigua festival naming DCBMA and The City of Canandaigua as a co-insured and holding DCBMA and The City of Canandaigua harmless. Prior to vending, the certificate must be provided, approved and posted. · Security / Responsibility of Property: It is the Vendors responsibility for the safety and protection of the Vendor's property. The Vendor agrees that neither DCBMA nor The City of Canandaigua shall be responsible for any loss or damage to Vendor's Property. · No Guarantees or Warrantees: DCBMA does not guarantee vendor location or food product exclusivity.
